Improving Safety and Operator Confidence Through QR-Based Access to Critical Information

In water and wastewater treatment facilities, timely access to accurate operational and safety information isn’t just helpful, it’s essential. Yet documents like Standard Operating Procedures (SOPs), Safety Data Sheets (SDSs), and troubleshooting guides are often stored in control rooms, shared drives, or binders that aren’t accessible when operators are working in the field.

U.S. Water’s Industrial Group partnered with a client in the waste industry to pilot a simple, high-impact solution: QR code–based access to critical documentation, placed directly where the work happens at points of use throughout the facility.

Addressing Experience Gaps with Practical Technology

Like many facilities today, this site was navigating workforce transitions. At the time of the pilot, the majority of shift operators were relatively new, creating natural gaps in experience despite formal training.

The objective of the pilot was clear:

  • Put critical safety and operational information in operators’ hands
  • Support less-experienced staff with real-time guidance
  • Strengthen safety and compliance across the facility

Rather than implementing new software or systems, U.S. Water helped make existing resources more accessible. QR codes were installed at key operational and safety-critical locations, including operator workstations, HMI/OIT screens, chemical addition areas (such as CIP tanks), and equipment-specific interfaces.

With a quick scan from a mobile device, operators and contractors could instantly access current SOPs, SDSs, and troubleshooting guides through U.S. Water’s proprietary Process Control & Monitoring (PC&M®) System. This eliminated the time spent searching for documents and the need to return to a control room, search shared drives, or reference outdated binders.

Measurable Impact on Confidence, Efficiency, and Safety

The response from operators was immediate and positive. Field access to SOPs and SDSs made it easier to review processes in real time and served as a valuable refresher during daily operations. One operator noted that the system encouraged more mobile data collection, helping streamline workflows.

For newer operators, on-demand access to procedures reduced uncertainty and built confidence, supporting safer decision-making without slowing productivity.

Contractors also benefited from instant access to SDS information. Because SDSs were linked through 3E, users knew they were viewing the most current versions available. Several contractors expressed interest in adopting similar tools after seeing the system in use.

The client viewed the QR code rollout as a proactive step toward strengthening safety culture, improving knowledge retention, and closing experience gaps across the workforce.

This pilot reinforced an important takeaway: meaningful operational improvements don’t always require major system overhauls. By placing critical information at the point of use, facilities can:
